What CRM does: the modules, the menu and who can do what

CRM keeps your contacts and companies, leads, deals, activities, invoices, projects and e-mail in one place — what each module is for, where it is in the menu and what each role can do.

CRM is where your team keeps the people you sell to and everything you do with them: the contacts and companies, the leads who got in touch, the deals in your pipelines, the calls and meetings, the invoices, the projects you deliver and the e-mail.

You open CRM from the Monfri dashboard: click the CRM tile. You are signed in to CRM with your Monfri account — CRM has no password of its own. The labels in CRM are in English.

The modules

Module What it is for
Dashboard Your day: what is due today, what is overdue, invoices past due and deals that went quiet: The dashboard.
Sales Leads, Deals, Pipelines, Contacts and Companies — the people and the money: Contacts, Leads, Deals.
Invoicing Invoices, Credit & debit notes and Products — invoices with Bulgarian VAT rules, proformas, payments and reminders.
Projects Projects, Tasks and Time tracking — the work after the sale.
Activities Calls, meetings, tasks, e-mails and deadlines, in a list, a calendar and a report: Activities.
Communication Inbox, Sequences and Email templates — your mailbox inside CRM.
Knowledge Ask questions about your CRM data and Files.
Reports Ready-made reports with CSV and a schedule by e-mail.
Settings The workspace's settings — only for managers.

Your own settings — notifications, your mailbox and the calendar — are under My settings in the menu under your name, top right.

Deals, Invoices and Activities open the tab you used last — for example the board or the list of deals.

Find anything

Press Ctrl+K (Cmd+K on a Mac) on any page. The search box Search anything... (contacts, deals, invoices) finds records by what is in them. It shows only what you can see.

Who can do what

What you can do in CRM comes from your access in Monfri. Owners and admins of the workspace are managers in CRM. A member gets one of three roles for CRM: Service access.

Role In CRM
Viewer Sees their own records, the ones shared with them and the ones with no owner, and changes none of them. Keeps their own activities, calendar and tasks, and sends e-mail.
Editor A salesperson: creates contacts, companies, leads, deals and invoices, imports and exports contacts, and changes the records they own or that have no owner.
Admin A manager: sees and changes every record, deletes, merges duplicates, and has the CRM Settings.

A record shared with you is view only: Who sees which records.

Buttons you cannot use are not shown. A change of role applies the next time you open CRM from Monfri.

A new workspace

A new workspace starts with example contacts, companies, leads, deals, projects and invoices, so the pages are not empty — the contacts and deals carry the tag Demo Data: Sample data. The dashboard of a manager shows Get started — five steps until CRM is ready for real work: The dashboard.

If something doesn't work

You don't have access to CRM in this workspace. Ask a workspace admin to grant it.

Your role in the workspace does not include CRM. An owner or admin gives you CRM access: Service access.

A button you need is not there

Your CRM role does not allow it, or the record is shared with you to view. Ask a manager to change your role in Monfri or to make you the owner of the record.
