Contacts: add, find, edit and work with a person
Add a contact and what each field means, find and filter the list, act on many contacts at once, and use the contact's page — its history, quick actions, deals, notes and files.
A contact is a person you deal with. Everything about them — their deals, leads, activities, e-mails, notes, files and invoices — is on their page.
Open Sales → Contacts. The page has two tabs: All contacts and Lists: Contact lists.
Add a contact
- Click Add Contact (or Create → Contact on the dashboard).
- Fill in the form and click Create Contact.
| Field | What it is |
|---|---|
| First Name, Last Name | Required. |
| One contact per e-mail in the workspace. | |
| Phone, Mobile, Job Title | Free text. |
| Company | The company the person works for. + New company adds one by name without leaving the form: Companies. |
| Owner | Who the contact belongs to. Empty means you. The owner decides who sees the contact: Who sees which records. |
| Street Address, City, State/Province, Country, Postal Code | The address. |
| Tags | Labels for grouping and filtering. A manager adds tags in Settings → Tags. |
| Notes | Anything worth keeping about the person. |
| Private Contact | Only you and the managers see the contact. |
To add many contacts at once, import a file: Import contacts from a CSV file.
Find contacts
- Search by name, e-mail, phone or company… finds contacts by any of these.
- Filters: All companies, All owners, All tags, and With an open lead — the people with an open lead card. Clear filters resets them.
- The columns show the contact, the title, the company, the owner and the next activity planned with them.
- ⋯ on a row: Create task, Edit, Delete.
You see your own contacts, the ones shared with you and the ones with no owner. A manager sees all.
Change many contacts at once
Tick the contacts — the box in the header ticks the whole page — and choose from the bar that appears:
| Action | What it does |
|---|---|
| Edit → Assign Owner, Update Company, Update Fields | Sets the owner, the company or a field on all of them. |
| Tags → Add Tags, Remove Tags | Adds or removes tags. |
| Privacy → Mark as Private, Mark as Public | Makes them private or public. |
| Add to List | Puts them in a contact list. |
| Enroll in Sequence | Starts an e-mail sequence for them. |
| Export | Downloads them as a CSV file: Export your data. |
| Delete | Deletes them (managers). |
The changes apply only to contacts you may change. If the selection includes a contact that is only shared with you, the whole action is refused.
The contact's page
Click a contact's name. The page has the history in the middle and the details on the right; on a phone they are tabs.
At the top: the name, the title and the company, and the buttons:
- Edit;
- Convert to Lead — opens a lead card for the person, or their open card if they already have one: Leads;
- Merge — when the same person is in CRM twice (managers): Merge duplicate contacts;
- Send portal link — when the contact has an e-mail, sends them a link to their invoices in the customer portal;
- Share and Delete.
On a phone everything except Edit is under ⋯.
Quick actions above the history: Send Email, Activity, Create Task, Create Deal, Add Note and Upload Files.
The history has two tabs: Activities — what is planned and what was done with the person — and History — everything on the record in time order, with the filters All, Activities, Notes, Files, Tasks and Emails.
On the right: Details, the person's Lead cards, and their deals, notes, files, projects and the pages from Monfri Pages that mention them.
Delete a contact
A manager deletes a contact with Delete on its page or in the list. A deleted contact goes to Settings → Trash, where a manager can restore it.
If something doesn't work
A contact with this email already exists.
Another contact in the workspace has this e-mail. Search for it — it may be one you cannot see: ask a manager. If the two are the same person, merge them: Merge duplicate contacts.
Please enter the contact's first name.
First and last name are required. For a company without a person, add a company instead: Companies.
You do not have permission to update some of the selected contacts.
The selection includes a contact that is only shared with you, or a private contact you do not own. Leave those out.
I can't find a contact a colleague added
You see a colleague's contact only when it has no owner or is shared with you. Ask them to share it: Who sees which records.
