Time tracking: the timer, manual entries and billing your time
Log time with the timer or by hand, on a project and a task, with an hourly rate. Billable time becomes a draft invoice with Bill time, and the rate counts toward the project's budget used.
Open Projects → Time tracking.
The timer
- Click Start Timer.
- Project (Optional), Description (Optional), Billable and Hourly Rate.
- Click Start Timer. The running timer shows at the top of the page.
- Click Stop Timer when you finish. The entry gets its end time and duration.
One timer runs at a time: starting a new one stops the old one.
A manual entry
For work already done: Add Manual Entry.
- Project and Task, and Description.
- Start Time, and either End Time or the Duration in minutes — CRM works out the other.
- This time is billable and Hourly Rate — in your workspace's currency. The form shows the Billable Amount.
Click Create Time Entry.
The rate
The Hourly Rate does two things:
- billable time with a rate can be invoiced — see below;
- every entry with a rate — billable or not — counts toward the project's Budget used: hours × rate. See Projects.
Time without a rate is logged but not invoiced or counted in the budget.
The list
The cards Total Hours, Billable Hours and Total Amount, and filters by User, Project, Start Date and End Date. You see the time on the projects you see, and your own time without a project. Only the person who logged an entry, or a manager, can change or delete it.
Bill the time
On a project's page, Bill time turns its unbilled billable time into a draft invoice:
- Pick the period — From and To.
- Lines — One per task or One per person.
- The preview shows the hours × rate, the amount before VAT, and the entries without a rate, which are left out.
- Click Create draft invoice.
The invoice is a draft for you to check and send — see Send an invoice. Time already on an invoice is never billed again; deleting the draft frees it. Billing time needs the right to create invoices.
The Logged time report shows the hours by project and person — billable, invoiced and not yet invoiced. See Reports.
If something doesn't work
There is no unbilled billable time with a rate in this period.
The period has no billable time with a rate that is not invoiced yet. Check the dates, and that the entries are billable and have a rate.
You can only change your own time entries.
The entry is a colleague's. Ask them or a manager.
Timer is not running.
The timer was already stopped — reload the page.
The timer could not start.
Reload the page and try again. If the project is not offered, you are not one of its members.
