Tasks: assign, follow and complete the work in a project

Every task belongs to a project. Give it to one or more people, a due date, a status and a priority; follow it in a list or on a board, and see your own tasks in one place.

Tasks are the work inside a project — every task belongs to one. The calls, meetings and to-dos with customers are activities, not tasks.

Who may do what

  • Everyone creates tasks, and changes, completes and deletes the tasks they created or were given.
  • An Editor or Admin changes any task they can see, and assigns tasks to others.

You see the tasks of the projects you see.

Create a task

On the project's Tasks tab click + Add Task, or Tasks → + Add task:

  • Task name and Description;
  • Assignees — one or more people;
  • Start Date and Due Date;
  • Project — required — and Parent Task, to make it a subtask;
  • Status — todo, in progress, review, done or blocked;
  • Priority — low, medium, high or urgent;
  • Type — Task, Bug, Feature or Epic;
  • Estimated Hours — a whole number, optional.

Click Create Task.

Follow the tasks

  • Tasks in the menu opens My tasks — the tasks given to you, across projects. All tasks shows every task you can see. Filter by project, status, priority and type.
  • On a project's Tasks tab: List or Board. The list has a search and filters; each row offers Complete, Edit and View.
  • The Board shows a project's tasks on Kanban boards: + Create Board, then drag the tasks between columns. A column can set the task's status — for example a Done column marks the tasks dropped there done. Add Column adds one; a column with tasks cannot be deleted until they are moved.

Complete a task

Complete marks the task done. On a board, drop it into a column whose status is done. The project's progress counts the done tasks.

If something doesn't work

The project id field is required.

Every task belongs to a project. Pick one in Project.

Cannot create circular dependency.

A task cannot depend on a task that depends on it.

Cannot delete column with … task(s). Please move or remove tasks first.

Move the column's tasks to another column first.

I cannot change a task

The task is a colleague's and your role is Viewer: you change the tasks you created or were given.
