Send an invoice by e-mail, with the PDF and the portal link

Send Invoice e-mails the invoice from your own mailbox, with the PDF attached and a link to the customer portal. Pick a template, reuse a previous e-mail, add copies and files — the draft becomes issued.

Open the invoice and click Send Invoice (on a draft) or Send Email (on an invoice already sent). Sending needs the CRM Editor or Admin role and a mailbox of your own — see Your mailbox.

The Send Invoice via Email window

  • From — your mailbox. If you have more than one, pick it; the default is marked. Invoices always go from your own mailbox, never a colleague's.
  • Reuse a previous email — load the recipients, subject and text of an earlier send of this invoice or another one. The invoice number, amount and dates are updated to this invoice; read it before sending.
  • Email Template — appears when your workspace has templates of the category Invoice. Picking one fills the subject and the text. See Email templates.
  • To — prefilled with the customer's address. Separate several addresses with commas (up to 10). + Cc and + Bcc add copies.
  • Subject and Message — by default Invoice 0000000012 from Your Company, in the invoice's language.
  • Attachments — Add files: up to 10 files of up to 10 MB each.

Click Send.

What the customer receives

  • The e-mail from your mailbox, in the invoice's language — a Bulgarian invoice gets a Bulgarian e-mail.
  • The PDF, attached as Invoice_0000000012.pdf (a proforma as Proforma_PF-….pdf), made fresh at sending.
  • A link to the invoice in the customer portal, added at the end if your text does not include it. Opening it marks the invoice Viewed.

A draft becomes Sent — issued. Every send is listed on the invoice under E-mails.

If your mailbox has no SMTP settings, the e-mail goes through Push from your workspace's sender, and replies come to you; it can carry PDF files only — see Your mailbox.

The PDF without sending

Download PDF on the invoice page downloads the same PDF. Its language is the invoice's language: Bulgarian invoices print in Bulgarian, with the legal fields; English invoices in English.

If you deliver the invoice another way, click Mark as Sent to issue it without an e-mail.

If something doesn't work

You need to configure an email account before sending invoices.

You have no mailbox in CRM. Connect one in My settings → Mailbox: Your mailbox.

No recipient email address found

The customer has no e-mail address. Type it in To, or add it to the contact.

Please enter at least one recipient email address

To is empty.

This is a recurring template — its schedule issues the invoices; it is never sent itself.

The invoice is a recurring schedule's template (TPL-…). Send the invoices the schedule creates.

This proforma was converted to an invoice — send the invoice instead.

Open the invoice made from the proforma and send that one.

The supplier's company name, ЕИК, address are missing — fill them in under Settings → Invoicing settings → Company before issuing (чл. 114 ЗДДС). The draft is kept.

See Before your first invoice.

Failed to send invoice: …

Your mailbox refused the message — usually a wrong SMTP password or server. Check the mailbox's settings and try again.

Before your first invoice: your company details, numbering and VAT

Fill in your company's details once — name, ЕИК and address are required to issue an invoice — then set the first number, the currency, the language, the payment terms and the VAT rate your invoices start with.

Edit or correct an invoice, and re-issue it to the current recipient

A draft can be changed freely. An issued invoice can be corrected — every change is recorded and the invoice is marked Corrected — and re-issued with the recipient's company details as they are today.

Payments: record a payment, a partial payment, Mark as paid

Record each payment the customer makes — in full or in parts — with its date, method and reference. The invoice shows what is still owed and turns Paid when nothing is left; the customer gets a confirmation.

Proforma invoices: the PF- series and converting to an invoice

A proforma is an offer to pay, not a tax document. It has its own PF- numbers, is not owed and gets no reminders. When the customer pays, Convert to invoice makes the tax invoice with the next number.

Credit and debit notes: correct an issued invoice

A credit note lowers what an invoice asks for — a return, a discount, a mistake — and a debit note raises it. Make one from its invoice, issue it, send it to the customer and apply it to the invoice.
