Projects: the work you deliver, its team, budget and due date

A project holds the work you deliver for a customer — its tasks, milestones, logged time and team. Its members and managers see it; its health, budget used and progress are on its page.

A project is the work you deliver — a website, an installation, a campaign. Projects are in Projects; creating and changing them needs the CRM Editor or Admin role, deleting them the Admin role.

Who sees a project

A project is seen by:

  • its owner and its members;
  • the people it was shared with;
  • managers (the CRM Admin role), who see every project.

The person who creates a project and its owner become members on their own. In the list, managers have the tabs My projects and All; everyone else sees their own projects.

Create a project

  1. Projects → + New Project. A won deal offers Create project too, with its company filled in.
  2. Basic Information: Project Name, Project Code (optional, unique in the workspace), Owner, Status (Planning, In Progress, On Hold, Completed, Cancelled), Priority and Description.
  3. Relationships: the Company and the Related Deal.
  4. Timeline & Budget: Start Date, Due Date and Budget in your workspace's currency.
  5. Tags, then Create Project.

The team

On the Team tab, + Add Member adds colleagues (a manager can). What a member may do in the project follows their CRM role: a Viewer sees it and works on their own tasks, an Editor changes the project and its tasks. Remove takes a member out. See Project views for the team's workload.

Budget used and health

The cards on the project's page: Progress, Tasks, Budget and Time Logged.

  • Budget used is the time logged on the project × each entry's hourly rate — billable or not. Time without a rate adds nothing. See Time tracking.
  • The health badge next to the name:
    • On Track — nothing below;
    • At Risk — over 90 % of the budget used, progress more than 20 points behind the time passed, or a task overdue;
    • Critical — the budget exceeded, the due date passed, or more than 30 % of the tasks overdue.

The Overview tab says why, under Project Health.

Clone, edit, delete

  • Clone makes a copy with all the tasks and milestones — for a project you repeat.
  • Edit changes the details.
  • Delete moves the project to the trash, for an Admin; see Users, tags, logs and trash.
  • Bill time turns the project's unbilled time into a draft invoice — see Time tracking.

If something doesn't work

I do not see a project

You are not its member or owner and it was not shared with you. Ask its owner or a manager to add you.

The code has already been taken.

Another project uses that code. Pick another or leave it empty.

Budget used stays 0

No time with an hourly rate is logged on the project yet. Add a rate to the time entries.
