Knowledge: ask questions about your CRM records and files

Knowledge answers questions in plain words from your CRM — contacts, companies, deals, leads, notes, activities, projects and tasks — and the files you upload, citing where each answer comes from. It sees only what you can see.

Knowledge answers questions about your work in plain words — What did we agree with Acme last month?, Which deals are waiting for a proposal? It has two tabs: Ask and Files.

Ask

  1. Click New Chat.
  2. Type a question — Ask about contacts, deals, projects... — and send it.
  3. The answer shows the records it is based on; open them to check.

Your conversations stay in the list on the left, to continue later.

Filter limits a conversation to some kinds of records: Contacts, Companies, Deals, Leads, Notes, Activities, Projects, Tasks and Files. Clear all searches everything again.

What Knowledge searches

  • Your CRM records: contacts, companies, deals, leads, notes, activities, projects and tasks.
  • The files uploaded in Files.

It does not search e-mails or invoices.

The cards at the top show how many documents are indexed, waiting or failed, and the files.

Only what you can see

Each answer draws only on the records you may see in CRM — your own, the ones shared with you, or the whole workspace for a manager. See Who sees what in CRM. The uploaded files are the workspace's library: every member's answers can use them.

Files

Add documents the answers can use — price lists, procedures, contracts:

  • Click to upload or drag files in: PDF, DOCX, DOC, TXT, MD, CSV and XLSX, up to 50 MB each, up to 10 at a time.
  • CRM reads the text out of each file; the status shows when it is ready. A file that failed has Retry extraction.
  • Edit changes the title and the description; Download gets the file back.
  • The person who uploaded a file, or a workspace admin, renames and deletes it.

What leaves CRM

To answer, Knowledge sends your question and the matching parts of your records and files to an AI model. E-mail addresses, phone numbers, addresses and tax numbers are removed from what is indexed. E-mails are never sent.

If something doesn't work

Upload failed. Please try again.

Try again; check the file is under 50 MB.

File type not supported for content extraction

Knowledge reads PDF, DOCX, DOC, TXT, MD, CSV and XLSX. Save the file in one of these.

The answer does not mention a record I know exists

It may be one you cannot see, a kind of record Knowledge does not search (e-mails, invoices), or one indexed only a moment ago. Check the filter and ask again.

Only the person who uploaded this file or an admin can delete it.

Ask the colleague who uploaded it.
