Invoicing settings: every tab explained

Invoicing settings has six tabs — your company, the defaults and reminders, the reminders sent, currencies and rates, invoice custom fields and the customer portal. What each one does and who can change it.

Settings → Invoicing settings is for managers (the CRM Admin role). It has six tabs.

Company

Your company as the supplier on every invoice: the name, ЕИК, VAT number, МОЛ, address, bank details and logo. The name, ЕИК and address are required to issue an invoice. See Before your first invoice.

Defaults & reminders

  • Invoice Defaults — the starting number, currency, language, payment terms, VAT rate and tax label new invoices start with. See Before your first invoice.
  • Invoice Reminder Settings — the payment reminders and the button that starts them. See Payment reminders.

Save Settings saves both tabs: an error on the other tab says On the … tab: ….

Reminders sent

Every payment reminder CRM sent: Total Sent, Last 24 Hours, Last 7 Days and Overdue Notices, and a list you can filter by invoice number or e-mail, by Reminder Type (Due soon, Overdue, Escalation) and by date.

Currencies & rates

The exchange rates are the European Central Bank's reference rates, updated every working day. They are shared by every Monfri workspace, so only the platform administrator changes them; you see the list.

Your workspace's own currency — the one new deals and invoices start with — is set in Settings → Workspace → Currency. See Workspace settings.

Custom fields

Fields of your own on every invoice, for example Order number or Project code.

  1. Click Add Custom Field.
  2. Field Name — what people see.
  3. Field Key — a short identifier: lowercase letters, numbers and underscores, unique in the workspace. It cannot be changed later.
  4. Field Type — Text, Text Area, Number, Date, Select (with its options) or Checkbox.
  5. Default Value, Help Text, Required field, Active.
  6. Click Create Custom Field.

The fields appear on the invoice form under Custom Fields (in the Bulgarian form, Допълнителни полета), on new invoices and when you edit one. A required field must be filled in; a required checkbox must be ticked. Their values are printed on the PDF and shown in the customer portal.

Edit changes a field; Delete removes it. A field you no longer want offered can be made inactive.

Customer portal

The links your customers use to see their invoices: create one, copy it, send it, deactivate it or replace it. See The customer portal.

If something doesn't work

I do not see Invoicing settings

The Settings menu is for the CRM Admin role.

Please fill in "…".

An invoice cannot be saved while a required custom field is empty.

Create an invoice: the customer, the lines, VAT and the due date

A new invoice starts as a draft with the next number. Pick the contact and the company, add products or your own lines with quantity, price, VAT and discount, check the due date and issue it.

Edit or correct an invoice, and re-issue it to the current recipient

A draft can be changed freely. An issued invoice can be corrected — every change is recorded and the invoice is marked Corrected — and re-issued with the recipient's company details as they are today.

Send an invoice by e-mail, with the PDF and the portal link

Send Invoice e-mails the invoice from your own mailbox, with the PDF attached and a link to the customer portal. Pick a template, reuse a previous e-mail, add copies and files — the draft becomes issued.

Payments: record a payment, a partial payment, Mark as paid

Record each payment the customer makes — in full or in parts — with its date, method and reference. The invoice shows what is still owed and turns Paid when nothing is left; the customer gets a confirmation.

Proforma invoices: the PF- series and converting to an invoice

A proforma is an offer to pay, not a tax document. It has its own PF- numbers, is not owed and gets no reminders. When the customer pays, Convert to invoice makes the tax invoice with the next number.
