The customer portal: where your customers see and pay their invoices

Every invoice e-mail carries a link to the customer portal, where the customer sees their invoices and notes, downloads the PDFs and finds how to pay. Links last up to 90 days; you can send a new one at any time.

The customer portal is a page where your customer sees their invoices without an account or a password: the link in the e-mail opens it, and it shows only that customer's documents.

How the customer gets in

  • With each invoice — every invoice e-mail ends with a link that opens that invoice in the portal. See Send an invoice.
  • With Send portal link — on a contact's page, Send portal link e-mails the contact a link to all their invoices. The contact needs an e-mail address, and you need to be able to send invoices.

A link lasts up to 90 days. After that the customer sees Invalid or expired access token. — send them a new link.

What the customer sees

At the top: Amount Due, Paid Lifetime, Pending and Overdue, and when their access expires.

The list has the tabs All, Invoices, Credit Notes and Debit Notes, a status filter and a search. Each document has View and Download PDF.

An invoice's page shows:

  • the invoice as it was issued — the lines, VAT and totals, in its own language;
  • what is paid and what is still due, and the due date;
  • How to Pay — your IBAN, SWIFT / BIC, Bank, the Reference to write in the transfer, and the Amount, each copied with a click;
  • Payment History and an Activity Timeline.

Opening an invoice in the portal marks it Viewed in CRM. Your internal notes on the invoice are never shown.

The customer cannot pay by card in the portal: they pay by bank transfer, and you record the payment.

Manage access

Managers see all the links in Settings → Invoicing settings → Customer portal:

  • + Create Portal Access — for an Email, with a contact or a company, and Full Access (All Invoices) or Invoice-Specific Access to one invoice. Expires At is at most 90 days ahead; empty means 90 days.
  • In each row's menu: Copy the link, Send the link by e-mail, Edit, Deactivate / Activate, New link (the old one stops working) and Delete.

If something doesn't work

Invalid or expired access token.

The link is older than its expiry, was replaced by a new one, or was deactivated. Send the customer a new link with Send portal link on the contact.

… has no e-mail address to send the link to.

Add the contact's e-mail address first.

Push has been refusing this workspace's e-mails, so the access e-mail to … goes out only once that is fixed.

Your workspace sends its system e-mails through Push, and Push refuses them. A manager sees the reason in CRM; see Workspace settings.
