Before your first invoice: your company details, numbering and VAT

Fill in your company's details once — name, ЕИК and address are required to issue an invoice — then set the first number, the currency, the language, the payment terms and the VAT rate your invoices start with.

Before you issue the first invoice, tell CRM who is invoicing: your company. Without the company's name, ЕИК and address an invoice stays a draft — Bulgarian VAT law (чл. 114 ЗДДС) requires them on every invoice.

Setting up invoicing is for managers (the CRM Admin role): Settings → Invoicing settings.

1. Your company — the Company tab

Fill in the Company Information section:

Field What it is
Company Name Required. Printed as the supplier.
ЕИК / Tax ID Required to issue. The company's ЕИК or БУЛСТАТ.
VAT Number (ДДС №) Only for VAT-registered companies, for example BG123456789.
Authorized Person (МОЛ) Printed on the invoice as МОЛ.
Email, Phone Your contact details on the invoice.
Bank Name, Bank Account, IBAN, SWIFT/BIC Code Where the customer pays. The IBAN and SWIFT also appear in the customer portal under How to Pay.
Logo PNG or JPG, up to 2 MB and 2000 × 2000 px. Printed on English invoices and shown in the customer portal.
Address, City, Postal Code, Country The address is required to issue.

Click Save Settings.

An invoice keeps the supplier details it was issued with: changing them later does not change invoices already issued. A draft created before you filled them in takes them when you issue it.

2. Numbers, currency and VAT — the Defaults & reminders tab

Field What it does
Starting Invoice Number Where the series starts, for example 1 — the first invoice is then 0000000001. If you already issued invoices elsewhere, start after your last number.
Default Currency The currency new invoices start with.
Default Language Bulgarian or English — the language of the invoice and its PDF.
Default Payment Terms (days) How many days the customer has; the due date is the issue date plus this.
Default Tax Rate (%) The VAT rate a new line starts with, for example 20.
Tax Label What the tax is called on English invoices, for example VAT.

Each invoice can still change all of these.

How invoices are numbered

  • Invoices, credit notes and debit notes share one series of ten digits, as Bulgarian VAT rules require.
  • A draft takes its number when you create it. A number is never given twice — not even the number of a deleted draft.
  • Proforma invoices have their own series: PF-0000000001. See Proforma invoices.
  • A recurring schedule's template invoice is numbered TPL-… and is never sent. See Recurring invoices.

Then

If something doesn't work

The supplier's company name, ЕИК, address are missing — fill them in under Settings → Invoicing settings → Company before issuing (чл. 114 ЗДДС). The draft is kept.

The invoice was not issued because your company details are incomplete. Fill in the fields the message names, click Save Settings, then issue the draft again.

I do not see Invoicing settings

The Settings menu is for the CRM Admin role. Ask a manager of your workspace, or see Who sees what in CRM.

Proforma invoices: the PF- series and converting to an invoice

A proforma is an offer to pay, not a tax document. It has its own PF- numbers, is not owed and gets no reminders. When the customer pays, Convert to invoice makes the tax invoice with the next number.

Credit and debit notes: correct an issued invoice

A credit note lowers what an invoice asks for — a return, a discount, a mistake — and a debit note raises it. Make one from its invoice, issue it, send it to the customer and apply it to the invoice.
