Edit or correct an invoice, and re-issue it to the current recipient

A draft can be changed freely. An issued invoice can be corrected — every change is recorded and the invoice is marked Corrected — and re-issued with the recipient's company details as they are today.

Open the invoice and click Edit. Editing needs the CRM Editor or Admin role; an invoice only shared with you to view cannot be changed — see Who sees what in CRM.

A draft

A draft can change everything: the number, the dates, the currency, the customer, the lines. Click Update Invoice.

A draft that is not needed can be deleted with Delete Invoice — by an Admin. An issued invoice cannot be deleted: correct it, or issue a credit note.

An issued invoice

When the invoice was already sent, the page says Correcting an issued invoice:

  • your changes are saved as a correction, and the invoice gets a Corrected badge;
  • every changed field is recorded in the invoice's Change History;
  • the PDF is made again.

What stays fixed once an invoice is issued:

  • the number and the currency;
  • the lines of a paid invoice — Items cannot be modified after payment. If something was wrong, issue a credit or debit note: Credit and debit notes.

If a payment is already recorded, the page warns that changing the totals can make them differ from what was paid.

Re-issue to the current recipient

An invoice keeps the recipient's details as they were when it was issued. If the customer's company changed its name, address or VAT number since, tick Re-issue to the current recipient and save: the invoice takes the company data of the contact (name, ЕИК, ДДС №, address) as they are now. Printed now shows what the invoice says today.

Send the update

After you correct an invoice the customer already has, CRM asks Send the updated invoice? — the customer still has the old version. Click Send updated invoice to e-mail it, or Not now. See Send an invoice.

If something doesn't work

A proforma cannot become an invoice by editing. Use "Convert to invoice".

A proforma turns into an invoice only with Convert to invoice on its page — see Proforma invoices.

An invoice cannot become a proforma.

Create a new proforma instead.

Only draft invoices can be deleted

The invoice is issued. Correct it, or cancel it with a credit note.

This record was shared with you to view. Only its owner or a manager can change it.

The invoice belongs to a colleague. Ask its owner or a manager.

Fill in your company's details once — name, ЕИК and address are required to issue an invoice — then set the first number, the currency, the language, the payment terms and the VAT rate your invoices start with.

Send an invoice by e-mail, with the PDF and the portal link

Send Invoice e-mails the invoice from your own mailbox, with the PDF attached and a link to the customer portal. Pick a template, reuse a previous e-mail, add copies and files — the draft becomes issued.

Payments: record a payment, a partial payment, Mark as paid

Record each payment the customer makes — in full or in parts — with its date, method and reference. The invoice shows what is still owed and turns Paid when nothing is left; the customer gets a confirmation.

Proforma invoices: the PF- series and converting to an invoice

A proforma is an offer to pay, not a tax document. It has its own PF- numbers, is not owed and gets no reminders. When the customer pays, Convert to invoice makes the tax invoice with the next number.

Credit and debit notes: correct an issued invoice

A credit note lowers what an invoice asks for — a return, a discount, a mistake — and a debit note raises it. Make one from its invoice, issue it, send it to the customer and apply it to the invoice.
