Automation: flows, the flow list and what each menu item is for

What Automation does, how flows and recipes relate, the menu, and the flow list — folders, the on/off switch, running, duplicating, exporting, importing and deleting a flow.

Automation runs work for you: when something happens — an order, a new deal, a webhook, a time of day — a flow does the next steps by itself, across Monfri and other apps. Open it from the Hub with the Automation tile; it lives at auto.monfri.net.

Flows and recipes

A flow is a trigger and the steps after it: when a deal is won in CRM → wait a day → e-mail the customer → add a task. You build flows yourself: The flow editor.

A recipe is a ready-made flow for shops and sites, set up from the Hub with a few settings: Recipes. Every recipe you launch is a flow here too, named after the recipe and the workspace — Abandoned cart recovery — My Shop. Change a recipe from its page in the Hub, not here: Save & re-activate rebuilds its flow and replaces edits made in the editor.

The menu

Item What it is for
Flows Your flows, in folders.
Analytics Runs, success rate and duration across all flows: Runs.
Templates Ready flows to start from: Templates.
Connections The apps your flows use, with their keys: Connections.
Team Who can open Automation and their role.

The flow list

Flows shows each flow with its Trigger, Status, Last Run and Runs (30d). List view and Grid view switch the layout; Folders on the left filter the list.

  • New Flow — a name, then the editor opens. Create with AI opens the editor with the AI builder, to describe the flow in words: AI in flows.
  • The switch in the Status column pauses and resumes a published flow (Click to disable / Click to enable). A flow runs only after it is published: switching on a flow that was never published does nothing.
  • Run now (▶) starts the flow at once — its published version, or the draft of a flow never published. It runs for real.
  • ⋯ (More actions): View Runs, Duplicate, Export (a JSON file), Move to folder, Delete. Deleting a flow cannot be undone.
  • Import — upload a JSON file exported from Automation; Flow Name (optional) renames it.
  • New folder creates a folder; a folder can sit inside another.

Roles

Owners and admins of the workspace, and members with the Admin or Editor role for Automation, create, change, publish and run flows. A Viewer sees flows and runs, with customers' personal data hidden, and changes nothing: Service access.

People and roles come from your Monfri workspace. Team in Automation only lists them — to add someone or change a role, use Members in Monfri: Team and roles.

Limits

Your plan counts flows and runs a month, recipes included: Usage and limits. When the workspace is read-only, a red bar says Automations and sending are paused for this workspace. — nothing runs, and you can keep editing.
