Products and categories: your price list on invoices

Keep your products and services with their prices, units and VAT, group them in categories, import them from a CSV, and pick them on an invoice line instead of typing them each time.

Products is your price list: the products and services you invoice. Everyone sees it; adding, changing and deleting products is for the CRM Admin role.

Add a product

  1. Products → Add Product.
  2. Product Name — as it is printed on the invoice.
  3. SKU (Stock Keeping Unit) — your code. Left empty, CRM makes one. Each SKU is used once in the workspace.
  4. Type — Physical Product or Service.
  5. Unit — pcs, hours, kg… printed next to the quantity.
  6. Description and Category. + New category adds one without leaving the form.
  7. Sale Price (Optional) — the price without VAT, in your workspace's currency. Leave it empty for something you price per invoice — the invoice line then asks you to Set price.
  8. Cost Price (Optional) — what it costs you; the form shows the Profit Margin and Profit per unit.
  9. Taxable Product and Tax Rate (%) — the VAT rate, for example 20. Each invoice line can change it.
  10. Active Product — only active products are offered on invoices.
  11. Click Create Product.

A product's page shows its prices, the price with VAT and Usage Statistics — how many invoices used it and the revenue.

On an invoice

On an invoice line, type part of the name or SKU: CRM searches all your active products and fills in the name, unit, price and VAT. See Create an invoice.

Changing a product's price later does not change invoices already made.

Categories

The Categories tab groups products — for example Hardware, Support. + New category: a Name, a Description, a Parent category for sub-categories, and Active. A category with products or sub-categories cannot be deleted; move them first.

Many at once

  • Import CSV — the first row names the columns: Name, SKU, Type, Price, Unit, Tax rate, Taxable, Active, Category, Description. Only Name is required. A row whose SKU is already used is skipped, and the result says which. Up to 2 MB.
  • Tick products in the list for Activate, Deactivate, Export (a CSV) or Delete.
  • Duplicate in a row's menu copies a product.

If something doesn't work

The SKU is twice in the file.

Two rows of the import have the same SKU. Make them different.

Imported … of … products. Skipped …

The listed rows were not imported — usually their SKU is already used. Fix them and import those rows again.

Cannot delete: category has products assigned.

Move its products to another category first.

Cannot delete: category has child categories.

Delete or move its sub-categories first.

I cannot add or change products

Products are changed by the CRM Admin role. Everyone else sees them and uses them on invoices.
