Migrate from HubSpot to Monfri

Before you start

  • Create your Monfri account and activate the 14-day free trial
  • Invite your team (Settings → Team)
  • Identify your top 10 workflows in HubSpot (list them with name + purpose)
  • Audit custom properties and identify which ones are actually used

Step 1 — Export HubSpot data (1 hour)

In HubSpot: Settings → Privacy → Data & Privacy → Export Data. HubSpot emails you a ZIP with:

  • Contacts.csv — all contact records with properties
  • Companies.csv — all company records
  • Deals.csv — deals with stage, amount, close date
  • Engagements.csv — calls, emails, notes, meetings
  • Properties.csv — property definitions (schema)

Typical processing time: 30-90 min. You'll receive an email when the export is ready.

Step 2 — Map custom properties (30 min)

Open Monfri Settings → Migration → HubSpot Import. Upload your Properties.csv. Our UI auto-maps 90% of fields:

  • HubSpot firstname → Monfri first_name
  • HubSpot lifecyclestage → Monfri lifecycle_stage (custom)
  • HubSpot hs_lead_status → Monfri lead_status

Review unmapped fields. For each, choose: create custom field, skip, or merge with an existing field.

Step 3 — Import CSVs (5-30 min)

Upload your exported CSVs in order:

  1. Companies.csv first (establishes parent records)
  2. Contacts.csv next (links to companies by association)
  3. Deals.csv (links to contacts + companies)
  4. Engagements.csv (attaches to deals + contacts)

For lists over 100K records, imports run async overnight. Email notification on completion.

Step 4 — Recreate pipelines (30 min)

HubSpot pipelines don't export cleanly. Set up pipelines in Monfri:

  1. Settings → CRM → Pipelines → New pipeline
  2. Add stages matching your HubSpot stages
  3. Set probability % per stage (use HubSpot's win rates if available)
  4. Re-assign imported deals to correct stages (bulk action)

Step 5 — Rebuild workflows (2-4 hours)

HubSpot workflows cannot be auto-exported in a readable format. Rebuild your top 10 in Monfri Automation.

Tips for fast rebuild

  • Start with the workflow that fires most often (highest-impact migration)
  • Screenshot each HubSpot workflow before rebuilding — easier to reference
  • Monfri's visual builder is similar to HubSpot's; most users find rebuild faster than expected
  • Multi-channel actions (send email + push + SMS in one flow) often collapse 2-3 HubSpot workflows into 1 Monfri workflow

Step 6 — Migrate email templates (30-60 min)

In HubSpot: Marketing → Email → Templates. For each priority template:

  1. Click the template → Actions → View HTML source → Copy
  2. In Monfri: Push → Email → Templates → New → Import HTML
  3. Our HTML-to-blocks converter rebuilds the block structure
  4. Review and adjust — most templates import 95% correctly; minor cleanup for complex layouts

Step 7 — Migrate sending domains (30 min)

In Monfri: Push → Email → Sending Domains → New. Add your domain (e.g., marketing.yourcompany.com).

Monfri shows DKIM + SPF records to add. Update your DNS (Cloudflare / Route53 / etc.) with the provided records.

Wait for DNS propagation (typically 5-30 minutes). Monfri verifies automatically and shows "Verified" status.

Do NOT remove HubSpot's DKIM/SPF yet — we'll run both in parallel during transition.

Step 8 — Parallel-run for 14 days

For 14 days, keep HubSpot active. During this period:

  • Send new campaigns from Monfri
  • Monitor deliverability (open rates, click rates, bounce rates)
  • Compare campaign performance to HubSpot baseline
  • Use Monfri for all new automation triggers
  • Let HubSpot complete any mid-flight sequences (e.g., existing onboarding series)

After 14 days: all new customer data is in Monfri, all workflows run in Monfri, HubSpot has no active sends.

Step 9 — Cancel HubSpot (5 min)

Once confident:

  • Monthly plan: cancel in HubSpot settings, takes effect immediately. No more charges.
  • Annual plan: you can't cancel early, but you can stop using the product. Your subscription runs until renewal; then it auto-cancels.

Export one more time before canceling. Even if you're confident the Monfri data is complete, having a final HubSpot export as a backup is prudent.

Common migration issues

"My deals aren't linking to the right contacts"

HubSpot deals link to contacts via the "Primary contact" field. If you imported contacts AFTER deals, associations get dropped. Re-run the deal import with Contacts.csv already loaded.

"My activity timeline is incomplete"

HubSpot's Engagements export has a 10,000-record limit per call. For large histories, export in date-range batches (e.g., last 90 days, 90-180 days, etc.) and combine.

"My workflows depend on HubSpot-specific properties"

HubSpot has system properties like hs_analytics_source that don't exist in Monfri by default. Create equivalent custom fields or map to our standard acquisition tracking.
